ADMINISTRATIVE ASSISTANT


Reports to: Supervisor/Director/Superintendent

Employment Status: As assigned on board-approved contract

FLSA Status: Non-Exempt


QUALIFICATIONS:

1. Minimum of a High School Diploma or GED

2. Successful completion of BCI/FBI background checks

3. Maturity in deportment and safeguarding confidential nature of assignments


ESSENTIAL FUNCTIONS: (The below list is not ranked in order of importance.)

1. Ensure safety of students, taking all necessary and reasonable precautions to protect students, equipment, materials and facilities

2. Perform all general computer and secretarial duties as assigned by the ESC staff

3. Maintain a pleasant attitude and promote good public relations by appearance, attitude and conversation

4. Interact in a positive manner with staff and community members

5. Answer telephone, take messages and route incoming calls

6. Route incoming orders and follow up to see that all items have been received

7. Keep running inventory of office supplies and complete requisitions when office supplies need to be ordered

8. Print and stock operational forms as needed

9. Operate all office equipment proficiently

10. Assist in the completion of records, reports, grants and other documents required by law and/or assigned by the Superintendent and other educational service center staff

11. Perform all routine secretarial office functions including licensure of teachers and paraprofessionals, BCI and FBI reports, and other duties

12. Attend meetings and professional development as required

13. Maintain respect at all times for all confidential information including salary schedules, reports, employee evaluations and reprimands, employee personnel files, etc.

14. Follow all Governing Board procedures and policies

15. Perform other duties as assigned

16. The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout his/her employment at the Center.

17. Serve as a role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings

18. Help instill in students the belief in and practice of ethical principles and democratic values


OTHER DUTIES AND RESPONSIBILITIES:

1. Prepare handouts, folders, agendas, etc., for meetings

2. Coordinate all facets for meetings, seminars and conferences sponsored by the MVESC

3. Prepare certificates and awards

4. Provide administrative support to Superintendent as requested


ADDITIONAL WORKING CONDITIONS:

1. Occasional operation of a vehicle under inclement weather conditions, i.e., being prepared to come to work on all scheduled workdays except calamity days

2. Frequent regular requirement to sit, stand, walk, talk, hear, see, read, speak, reach, stretch with hands and arms, crouch, kneel and stoop

3. Occasional requirement to lift, carry, push and pull various items up to a maximum of 35-40 pounds

EQUIPMENT OPERATED: Typical school technology as well as assistive technology (e.g., communication devices, etc.)


TERMS OF EMPLOYMENT: Dates of the work period will be stated in the employment contract


PERFORMANCE EVALUATION: The Administrative Assistant will be evaluated by his/her supervisor/principal/superintendent or his or her designee in accordance with the procedures identified by law and including the standards established by the organization. The employee will be given a copy of the evaluation instrument and standards in advance, and he or she will be expected to conduct a self-evaluation and establish a minimum of one goal annually to advance knowledge, skill and/or ability in a job-related area.
