Title Administrative Assistant-Part Time
Reports To Director of Student Support Programs, Chief Academic Officer

Job Summary Supports the day-to-day operations of Federal and State Programs and the Academic Services Department.
Primary Duties
● Maintain and reconcile financial records, including disbursements, accounts payable, payroll, and purchase orders
● Prepare and process credit card charges, compile data, and resolve discrepancies in financial transactions
● Process payroll and assist with related financial documentation and reporting
● Maintains polite and professional communication via phone, email and mail
● Anticipates the needs of others in order to ensure their seamless and positive experience
● Handles office tasks, such as filing, setting up for meetings and reordering supplies
● Directs visitors to appropriate departments, rooms for meetings and trainings
● Provides information and assistance to internal and external customers. Determines and coordinates appropriate follow-up action as needed
● Performs a variety of administrative duties including preparing correspondence. Maintains confidentiality of documents and information produced and received
● Demonstrates regular and predictable attendance
● Promotes a favorable image of the ESC. Encourages community partnerships that enhance ESC programs and services
● Upholds governing board policies and follows administrative procedures
● Performs other duties as assigned
Minimum Qualifications
● High school diploma
● Valid driver's license
● Secretarial experience preferred
● Able to work outside of normal work hours when needed
● Self-motivated, highly organized and detail-oriented
● Strong verbal skills ● Desire to be proactive and create a positive experience for others
● Working knowledge of proper sentence structure, spelling and punctuation of the English language. Knowledge of modern office procedures and equipment and office management
● Strong relationship building and communication skills with District administrators/Board of Education, and internal/external stakeholders. Strong interpersonal relationship skills including cultural sensitivity & competence
● Ability to compose routine correspondence as well as proofread and detect errors in communications and documents
● The employee shall remain free of alcohol or nonprescribed controlled substance in the workplace throughout his/her employment in the ESC
● Ability to efficiently multi-task on a daily basis
● Proficiency with use of technology hardware and basic software (i.e., Microsoft office), email, and office equipment (i.e., copier, fax, scanner, telephone, etc.). Proficiency with web-based applications (i.e., Google Docs, DEWs website, social media, etc.), and NCOESC databases
● Ability to preserve confidentiality of student information and records Clearances Criminal justice fingerprint/background (FBI/BCI), and public health clearances.
Physical Requirements & Working Conditions
● Performance of duties requires constant sitting. This job requires frequent talking and hearing. This job requires occasional standing, walking, kneeling, reaching, handling, grasping, engagement in repetitive motions, and eye/hand/foot coordination.
● Performance of primary duties takes place in an office environment with virtually no exposure to adverse environmental conditions. Occasional light physical effort required.
